Descriptif

 

R H&B, RH consulting firm specialized in the pharmaceutical industry, is hiring a Local Compliance coordinator and administrative assistant. 

As Compliance coordinator he/she assumes specific responsabilities for Compliance matters in the affiliate.

As Administrative assistant he/she assumes specific missions in Office management and HR administrative tasks.

 

Adhere to the Company France Quality Policy regarding information activities by canvassing or prospecting for the promotion of medicines.

Respect the quality approach of the company developed in partnership with the “Exploitant” and the Quality manager.

Reporting to the General Manager, the missions are:

1. Local Compliance Coordinator

 

  • Acting as simple point of contact for compliance review processes in the company, liaised with Global Compliance staff.

  • Ensuring that all compliance requests contain the necessary information before submission, including the selection of the appropriate and up-to-date templates for the compliance memos.

  • Submitting requests to Global Compliance designated staff

  • Reporting to Global Compliance staff any substancial deviation identified in the company after compliance review

  • Ensuring that all recomendations issued by Global Compliance are noted by the requestors in the company

  • Filing the official records resulting from the execution of the Compliance review processes, as required by the Global Compliance procedures

  • Coordinating with local Accounting Manager to ensure that disbursements to covered individuals under Anticorruption Policies are properly referenced to Compliance clearances and are within the estimates included in the approved compliance memos or reviews

  • Centralize Bioscience and Diagnostic declarations and manage transparency declarations on dedicated website.

  • Send to Global Compliance information declared.

  • Follow up the regulatory watch

  • Present to all the employees regulatory changes in term of Compliance

  • Ensure employees training regarding Compliance topics

  • Write the Compliance newsletter

  • Local point of contact for RGDP topic

  • Follow up the company's website update

 

​2. Administrative assistant

 

  • Follow up lunch vouchers (data for payroll, order, check invoice, send to the employees…)

  • Follow up the medical visits :

- Register associates to a medical visit center

- Follow up the date of the medical visit for each associate

- Check invoices related to medical visits

 

  • Order all necessary office supplies for Paris offices

  • Follow up maintenance and repair of facilities and equipment under Office manager supervision

  • Oversee with Office manager facility refurbishment and renovations

  • Provide prompt response to requests and issues from facility occupants

  • Make sure that all new employee receive all equipment needed (orders new PC, iPhone, IT materials…)

  • Manage meeting organization for the company

  • Participation on administrative tasks for General Manager and other Paris’ employees (letters, shipments, express deliveries, others…)

  • Participation to administrative tenders

  • Phone call receptions and dispatch to dedicated person

  • Other tasks not listed in this job description should be added

 

 

Profile : 

 

Ideal Background :

 

  • Degree in Administrative assitance

  • Minimum 5 years in the same position,

  • French : fluent

  • English : professional

 

Technical requirement:

  • Strong skills in compliance and executive assistant for pharmaceutical industry

  • Interpersonal skills, good communication and ability to analyze, provide strong recommendations.

  • Autonomous, rigorous, federate and convince, organizational quality,

  • Dynamic, proactive, ability to adapt to a new environment.
